Answers to the practical questions that affect event rentals.
Use these planning notes to estimate space, access and the right equipment mix before requesting a quote.
How early should I book?
Earlier booking gives you more choice, particularly for larger events or dates with limited venue access. If your date is close, send an enquiry anyway and we can confirm what is practical.
Where do you deliver?
Our primary service area is Calgary, with surrounding communities such as Airdrie, Cochrane, Chestermere and Okotoks considered according to the event schedule and delivery requirements.
Do you set up the equipment?
Delivery and event-ready setup can be included in the rental plan. The quote should confirm the exact service scope and access window.
How much space do I need?
Space depends on the equipment. Poker tables need chair and circulation clearance, gaming stations need standing space and photo zones need depth between the capture point and backdrop.
Can I combine more than one type of rental?
Yes. Poker, gaming and photo experiences can be combined. Mixed layouts are often more effective because they give guests different styles of participation.
Can rentals be used at corporate venues?
Yes. We can plan around conference rooms, hotel function spaces, offices and other professional venues, subject to the venue’s access and equipment rules.
Can rentals be used at private homes?
Yes, where access and available space are suitable. For home events, door widths, stairs and fixed furniture can affect what equipment is practical.
How long is a typical rental?
Rental duration is arranged around the event schedule and equipment type. Include your guest arrival, event finish and venue access window in the enquiry.
What happens after the event?
Equipment is packed down and collected during the agreed collection window. Venue exit rules should be confirmed in advance.
Can you help plan equipment placement?
Yes. Floor plans, room dimensions or clear venue photos can help us discuss placement and avoid blocking key circulation routes.
Can poker tables be combined with photo booths?
Yes. They work well together when the photo queue is positioned away from the chairs and circulation path around the tables.
Can gaming equipment be included in corporate packages?
Yes. Arcade-style and interactive equipment can be used as quick-turn activities during networking or social periods.
Do you serve locations outside Calgary?
Surrounding Alberta communities can be discussed. Distance, equipment quantity and venue access all affect feasibility.
How do I request a quote?
Use the contact form and provide the date, location, guest estimate, rental types you are considering and any known access restrictions.
What information should I provide when booking?
The most useful details are event date, venue address, guest count, available setup time, room size or floor plan, preferred equipment and the time the activities should be ready.
What happens after I submit an enquiry?
We review the event details you provide, including the date, location, guest estimate and preferred rental types. If more information is needed to assess the setup, we may ask about room dimensions, access times, loading conditions or power availability before the rental plan is finalized.
How many poker tables should I rent for my guest count?
There is no useful one-table-per-fixed-number rule because simultaneous participation varies by event. If poker is the main attraction, more guests are likely to want seats at the same time. If poker is one part of a mixed layout with gaming machines and a photo zone, fewer tables may be enough because people naturally rotate between activities. Room dimensions and chair clearance are just as important as attendance.
What should I check before renting gaming machines?
Confirm usable floor space, suitable electrical access and the route from the loading point to the final gaming area. Each machine also needs player space and usually some room for spectators. If the venue has restrictions on extension leads, cable coverings or power distribution, share those rules before the equipment plan is finalised.
How much room does a photo booth or photo zone need?
The required area depends on the format. A compact booth may use less floor space, while a backdrop designed for groups needs additional camera distance and room for people to assemble. Queue space should be considered separately so waiting guests do not block a doorway, corridor or another activity zone.
Can you recommend a mixed package for a small venue?
Yes. In a compact room, a smaller mixed package is often more useful than a high quantity of one item. One poker table or a focused poker zone can be paired with a compact gaming station or photo experience. The recommendation should preserve circulation first; unused corners should not automatically be filled with equipment.
What venue information should I confirm before delivery day?
Please confirm the exact setup room, loading or parking instructions, stairs or lifts, door widths where access is tight, the time the venue becomes available, power locations for gaming equipment and the collection window. If the venue has floor-protection or equipment-access rules, those should also be included so setup can be planned before arrival.
The most useful answers begin with the room, schedule and expected participation.
Two events with the same guest count can need very different rental plans. The layout changes depending on whether entertainment is the main purpose of the event or one part of a wider programme, whether people arrive all at once or gradually, and how much usable floor area remains after other venue functions are set.
Poker tables need seating and circulation, gaming equipment needs player and spectator space plus appropriate power access, and photo booths or photo zones need camera distance and queue space. Providing those details early allows the recommendation to be specific rather than based on a generic guest-count formula.
If you are not sure which equipment combination to request, describe the event objective and venue instead. We can use that information to identify which activity should act as the anchor and which secondary options can support it without overcrowding the room.
